Deleting your account and data.
How to remove your SomaKwetu account and the personal data attached to it, what gets deleted, and what your school keeps.
1. Which app this covers
The SomaKwetu app for Android (ke.co.somakwetu.tenant) and the SomaKwetu web app your school signs in to. Both use the same account, so a request covers all of them.
2. How SomaKwetu accounts work
You cannot sign yourself up. Your school creates your account and invites you, and you set a password to activate it. That matters for deletion: your account belongs to your school’s SomaKwetu space, and your school decides who has one.
3. Ask your school — the fastest route
A school administrator can remove your account from the school under Settings → Members, using “Remove Member”. That takes effect immediately: your access ends and the next sign-in attempt is refused. This is the quickest way for a parent, guardian or member of staff to be removed.
4. Ask us directly
If you cannot reach your school, or you want the account and its personal details removed from our systems entirely, email [email protected] from the address on the account and say you want it deleted. We may ask one question to confirm the account is yours. We respond within 30 days and confirm by email when it is done. There is no charge.
5. What is deleted
The personal data that makes up your login: your name, email address and phone number, your password, your two-factor enrolment, your sign-in sessions, and the membership records linking you to a school. Once this is done you no longer have an account and cannot sign in.
6. What your school keeps
School records — learners, attendance, results, fees, payments, staff records — belong to the school, not to your personal account. Removing your login does not erase them, and it must not: a school has to keep its register and its books. If you want a record about you or your child changed or deleted, ask the school. They decide, and we act on their instruction.
7. If your school leaves SomaKwetu
When a school’s subscription ends, the school can export its data, and we delete it within 30 days unless the school asks us to keep it longer or the law requires us to. That covers every account inside that school’s space, including yours.
8. Children’s data
Most learner records are about children. We process them only on the school’s instruction, only to run the school, and never for advertising, profiling or training models. A parent or guardian asking about a child’s record should ask the school first — the school is responsible for deciding, and we carry out what it asks.
9. Backups
We keep encrypted backups so a school can be restored after a failure. Data that has been deleted from the live system can still exist in a backup until that backup is rotated out of storage; it is not used for anything else, and it is deleted with the backup.
